Free vs Paid Automation Tools — A 2026 Reality Check
Which automation tools you can stay on the free tier with, when the paid tier earns its keep, and which choice fits which business size. With real cost data.
Every week someone asks: 'Recommend a free automation tool.' The answer depends. Free tiers are often plenty for small use, but past some point free-tier limits start costing you money. This post sums up which tools I pick when, based on real usage across 12+ platforms.
Zapier — friendly to start, expensive at scale
Free tier: 100 tasks/month, 2-step Zaps. That's almost nothing — a typical form-to-CRM Zap eats 100 tasks a week. Starter $19.99/month (750 tasks). Professional $49/month (2,000). For 10,000 tasks, you're at $299/month. Zapier is the most expensive, but UI and docs are top of class.
Make.com — friendlier pricing, very powerful
Free tier: 1,000 operations/month, 2 active scenarios. Ten times more generous than Zapier free. Pro at $16/month (10,000 ops) is the popular pick. Lots of my client projects live on Make Pro.
n8n self-hosted — unlimited, but setup time
Self-hosted n8n is technically free — drop it on a $5/month Hetzner VPS, run unlimited workflows. Cloud starts at $20/month. Self-hosting setup takes about an hour (see my earlier post), then no limits ever. It's my team's default.
Pipedream — developer-leaning, generous free
100,000 invocations/month free. That's a lot. But you'll write Python or Node.js for most workflows. Great for engineering teams, hard for non-technical users. Free tier carries small MVPs easily.
IFTTT — declining, don't bother
IFTTT is an old classic but feels dated in 2026. Free tier very limited (5 applets), Pro $3.99/month (20 applets). Too simple for modern business use cases. Still fine for smart-home automation, look elsewhere for business.

My decision rule
- Non-technical user, will manage themselves, few workflows → Make.com Pro $16
- Many workflows, GDPR/local data, technical team → n8n self-hosted
- Engineering team, code-first → Pipedream free or n8n self-hosted
- Single small automation to try things → Make.com free
- Enterprise that wants 'enterprise' in every label → Zapier Enterprise
AI add-ons — brief note
Every platform now has OpenAI/Anthropic nodes. But AI calls go through your own OpenAI account — the platform is just the wrapper. So 10,000 AI workflow runs in Make = 10,000 ops in Make + $5-50 in OpenAI bills. Budget accordingly.
Honest truth: 'free' isn't really free. Your time, your data, your customer experience all have value. $16/month is cheaper than spending 2 hours every week fighting with config to stay on the free tier.
